A hard decision comes up and someone says: "Let's have a meeting." Eight people sit for an hour. Two argue, four check their phones, two say nothing. Then someone says: "Let's meet again next week." A short written note, sent before the meeting, often makes the meeting shorter or unnecessary. The AI can help you write that note and test it.
The mistake most people make
Using a meeting to collect facts that could have been written on two pages and sent round first.
“A logistics director held three one-hour meetings to decide whether to buy five delivery trucks or lease them.”
“Each meeting went in circles. People argued from stories about breakdowns, not from a table of costs.”
How it works: the one-page briefing
A commander doesn't sit through a two-hour debate. A staff officer hands over one page: the goal, the two options, what stands in the way, and what supplies are left. The commander reads it, asks two questions and decides. A decision note works the same way.
Three ways to spend less time in meetings
1. The decision note
Two pages at most: the situation, the options, what each one costs and risks, and your recommendation. People read it and comment before any meeting is set.
2. Ask the AI to argue against you
Paste your plan and ask the AI to play a careful finance head. It lists what could go wrong. You decide which worries are real.
3. From transcript to actions
If a meeting must happen, record it and get a transcript. Ask the AI for only four things: decisions made, actions, who owns each one, and by when.
Rules for quicker decisions
Here is a plan or decision I am considering: """ [Paste your plan, the figures you have, and any quotes or lease terms] """ Act as a careful finance head whose job is to find weak spots. Work only from what I pasted above. Your task: 1. List 3 assumptions in this plan that could turn out to be wrong. Quote the line each one comes from. 2. Describe what happens if sales come in at [a lower figure you choose] and deliveries take [a longer time you choose]. Show every sum step by step, using only my figures. 3. List 2 things that should be true before I commit the money. Rules: - Do not invent figures, market sizes or growth rates. If you need a number I haven't given, write [CHECK: what's needed]. - Do not state tax, legal or loan rules. Where they matter, write [CHECK: ask a CA or lawyer]. - Be direct. No reassurance.
The AI tests your plan using only your own figures, and shows its sums so you can check them. It marks what's missing. Have your CA check the figures before you act on them.
Why does a short written note before a meeting lead to quicker decisions than an open discussion?
Show the answer
Writing makes the author set out the facts and the options first. People read it in their own time. The meeting, if one is needed, is only about where they disagree.
