AI for Distributors: scheme messages, claims and payment reminders
Five workflows for grocery and household goods distributors. Send scheme messages, chase claims, return expired stock and collect payments.
A company sends a new scheme circular. You type the same WhatsApp message to fifty retailers. Then you add up claims by hand, check expiry dates on a long stock list, and chase payments one retailer at a time.
AI for Distributors does this work from the papers you already have: circulars, stock lists and your ledger.
The five workflows
- Scheme message to retailers. Paste the company's circular. You get a short WhatsApp message with each offer and the scheme dates.
- Pending claim follow-up. List your unpaid scheme and damage claims. You get a polite email to the area sales manager, with each claim, the total and the oldest claim.
- Expiry and damage returns. Paste your stock list. It sorts the stock into expired and expiring within 30 days, and writes the return request.
- Outstanding reminders. Paste your outstanding list from Tally or Marg. You get one WhatsApp reminder for each retailer.
- Order confirmation. It confirms a retailer's order, says what's short, and offers a replacement only if you have one.
The numbers are worked out first
The AI does not do the sums. Claim totals, expiry sorting and the age of each bill are worked out before the AI sees them. The AI copies those figures exactly.
So a claim total is the real total. A batch that expired last week goes in the expired list, not the good list. And a retailer's oldest bill is the right number of days old.
Reminders that keep the retailer
The tone of each reminder depends on how old the retailer's oldest bill is:
- up to 30 days: friendly
- 31 to 60 days: polite
- 61 to 90 days: firm
- over 90 days: final
Even the final message asks the retailer to call with a payment date. No reminder threatens, mentions interest, or talks about stopping supply. The retailer is still your customer next month.
What it never does
- No medicines. It is made for grocery and household goods. Medicines have their own rules, so it turns them away.
- No agreement quotes. It never quotes or explains a distribution agreement, or a scheme term that isn't in what you gave it.
- No promises. It never says a claim will be paid. It never gives a date for stock or payment that you didn't give it.
- No guessing. If something is missing, it writes [CHECK] and tells you what to add.
Paste from Tally or Marg
You don't need to retype your outstanding report. Copy the rows as retailer, bill number, bill date and amount. It works out each retailer's total and oldest bill, for up to ten retailers at a time.
The course comes with it
You also get the Working With AI course. It shows you how to ask AI for what you need, and how to check what comes back. You can use it for work outside these five workflows too.
The AI for Distributors page shows an example of each workflow. Once you buy, you run them on your own details.
