Turn a company scheme circular into a WhatsApp message for retailers

A new scheme circular comes from the company. It is long, and full of codes and small print. Your retailers won't read it.

They want three things: which product, what offer, and until when. AI can write that message. But AI can also make the offer sound bigger, or add a product that isn't in the scheme. Then a retailer orders, and the scheme doesn't apply.

Here is how to get a short message that says only what the circular says.

What to give the AI

Paste the circular text as it is. Add the start date, the end date and your firm's name. For example:

Nirjhar Home Care trade scheme NHC/OCT/26.
Buy 5 cases of Nirjhar Dishwash Bar 200g, get 1 case free.
Extra 3% off Nirjhar Floor Cleaner 1L on a single bill above ₹4,000.
Not valid with any other scheme.
Valid 1 Oct 2026 to 31 Oct 2026.

Take the dates from the circular yourself. Don't let the AI work them out.

What to ask

Copy this into ChatGPT, Claude or Gemini. Put your own details in the brackets.

Write a WhatsApp message to my retailers about this company scheme.

Rules:
- Use only what the circular says. Don't add any offer, product or condition.
- One numbered line for each offer. Put the product and pack size in *bold*, then the offer in plain words.
- The second line is "Valid [start date] to [end date]".
- Include every condition in the circular, such as "not valid with any other scheme".
- Keep product names, pack sizes, amounts and dates exactly as given.
- If something is missing or unclear, write [CHECK] and say what. Do not guess.
- Under 90 words. No tables. End by asking for the order.

Check it before you send

Put the message next to the circular. Check these four things:

1. Each offer. "Buy 5, get 1 free" should not turn into "buy 4" or "get 2". Check every number.
2. Pack sizes. 200g and 1L should match the circular. A wrong pack size means a wrong order.
3. Dates. The start and end dates should be the circular's dates.
4. Conditions. "Single bill above ₹4,000" is not the same as "above ₹4,000 in the month". Use the company's words.

If you see [CHECK], find the answer in the circular or ask your area sales manager. Never send a message with [CHECK] in it.

Why this works

"Use only what the circular says" stops the AI from adding offers. The numbered lines make each offer easy to read on a phone. And [CHECK] gives the AI a way to say "I'm not sure" instead of guessing.

The retailer gets a short message that is easy to read on a phone. You get fewer calls asking "is this product in the scheme?"
