You finish a site visit at six in the evening. The client wants the proposal tomorrow. Then a BOQ, then a change on WhatsApp, then a payment that is two weeks late.

Most of this is writing. It uses notes, rates and dates you already have. AI can do the writing. But it can also change a rate, round a total or add a promise you never made.

The five workflows

  1. Site visit to proposal. Your site notes become a proposal, room by room, with the style, the time needed and the payment stages.
  2. BOQ descriptions. Each BOQ line is rewritten in everyday words, so the client knows what they are paying for.
  3. Change confirmation. When a client asks for a change, you get a short message with the extra cost and days. It asks them to reply "Yes, go ahead".
  4. Weekly site update. Your rough notes from the week become an update: what's done, what's next, what you're waiting for and what the client must decide.
  5. Stage payment reminder. A WhatsApp message and an email that start from the work done. The tone depends on how late the payment is.

The sums are done first

Stage payments and BOQ totals are worked out before the AI sees them. The AI copies those amounts. It does not add or multiply anything itself.

The proposal also checks that your stages add up to 100%. If they add up to 95%, you see a [CHECK] line instead of a wrong total.

What it never does

  • It never changes a quantity, unit or rate. They stay exactly as you typed them.
  • It never writes contract clauses, warranty terms or penalties.
  • It never writes anything about disputes, stopping work or legal action.
  • It never names a brand or material you didn't give it.

If something is missing, it writes [CHECK] and tells you what to add. It does not guess.

For your agreement and its terms, use your own contract or ask a lawyer. These workflows write the messages around the work.
