A GST filing reminder that gets documents on time
Use AI to write a monthly WhatsApp reminder for GSTR-1 or GSTR-3B that says which documents you still need, and the day you need them by.
Every month it's the same. GSTR-1 is due on the 11th and GSTR-3B on the 20th, and half your clients haven't sent their bank statement. You send reminders. Some are too soft and get ignored. Some are too sharp and upset the client.
A good reminder says three things: what you still need, the day you need it by, and why that day matters. AI can write it in your voice, and you can use it again every month.
What to give the AI
- Client: Rajesh, Sunrise Trading
- Return: GSTR-3B for August, due 20 September
- Documents still needed: HDFC bank statement for August, purchase bill register
- Your cut-off: 18 September, 3 pm
Set your cut-off two days before the due date. That leaves you time to reconcile before you file.
What to ask
Write a monthly WhatsApp reminder asking a client for documents before a GST return.
Details:
- Client: [Rajesh, Sunrise Trading]
- Return and due date: [GSTR-3B for August, due 20 September]
- Documents still needed: [HDFC bank statement for August, purchase bill register]
- Send by: [18 September, 3 pm]
Rules:
- List the documents one per line.
- Put the send-by date in bold.
- Say in one line why the date matters: we need time to check before we file.
- Do not mention a late fee, penalty or section unless it is in the details above.
- Under 80 words. Polite and firm, never angry.
What to check before you send
- The return and the month. GSTR-1 and GSTR-3B are easy to swap. Check both.
- The dates. Your send-by date should come before the due date.
- The documents. Every item you listed is there, and nothing extra.
- No new rules. If the AI mentions a late fee or a section you didn't give it, delete it, or check it before you send.
Save it for next month
Save the request with the details in brackets. Next month, change the month, the dates and the documents. Every client gets the same layout, and your team sends the same message whoever is on duty.
Why this works
A reminder that gives the documents, the date and the reason leaves the client nothing to ask back.
And because you told the AI the tone you want, "polite and firm, never angry", you don't have to rewrite the message each month.
