Turn a messy supplier bill into a table you can check

Paste a messy supplier bill into AI and get a clean table. The AI shows every sum, and marks any number it could not read.

A client sends a photo of a supplier bill. You copy the text from it, and it is a mess. The columns are mixed up and the numbers are hard to follow.

Usually someone types it into a spreadsheet by hand. AI can do this for you. But AI can also make mistakes in the sums, or guess a number it can't read.

Here is how to get a clean table and see where the AI was not sure.

What to give the AI

Paste the bill text just as it is. You don't need to clean it up. For example:

What to ask

Turn this bill into a table.

Columns: Item | Quantity | Rate (₹) | Taxable value (₹) | GST rate

Rules:
- Take every number from the bill. If you can't read a number, write [UNVERIFIED]. Do not guess.
- Take the GST rate from the bill. If the bill doesn't show it for an item, write [UNVERIFIED].
- Under the table, show each sum step by step: subtotal, each tax, and grand total.
- If your total is different from the total on the bill, say so and show both.
- Don't add any other text.

What you get, and what to check

You get a table with one row for each item. Under it, the AI shows its sums:

  • 2,450 + 6,200 + 200 = 8,850 taxable
  • CGST at 9% = 796.50
  • SGST at 9% = 796.50
  • 8,850 + 796.50 + 796.50 = 10,443

Now check three things:

  1. Each row. Quantity × rate should equal the taxable value. The sums are shown, so a wrong row is easy to spot.
  2. The total. If the AI's total and the bill's total are different, don't choose one. Look at the photo again.
  3. Every [UNVERIFIED]. These are the numbers the AI could not read. Find them on the original bill.

Why this works

Two rules do most of the work.

"Do not guess" lets the AI say it is not sure, and [UNVERIFIED] makes that easy to find.

"Show each sum step by step" puts the maths on the page. You can check it in a few seconds.

The GST rate comes from the bill, not from the AI. If the bill doesn't show it, look it up yourself.
